The client profile

What the client page shows: lifetime totals, details, contacts, every document, linked contracts, email history and the change log.

Open any client from Clients to see everything you have done with them on one page. Which sections you see depends on your role.

Totals

The four tiles at the top show the client's position across all documents:

Tile What it counts
Total invoiced Everything issued to the client.
Total paid Payments recorded, with the share of the invoiced amount.
Total unpaid What is still open.
Overdue Open documents past their due date.

The tiles need the permission to view documents.

Details

Details lists the type, legal name, tax number, registration number, email, phone, address and your Internal notes. Click Edit at the top right to change them.

Contacts

Contacts are the people at the client. They matter for two things:

  • The Primary contact receives document emails first. When you issue with Send invoice email, the "Send to" address is pre-filled with the primary contact's email, then the client's own email.
  • Client portal sign-in works with contact emails only. See Give a client portal access.

To add one:

  1. Click Add contact.
  2. Enter Name and Email (both required), and optionally Phone and Position.
  3. Switch on Primary contact if this person should get document emails.
  4. Click Save.

A client can have only one primary contact. Making a contact primary removes the flag from the others. You cannot switch off the only primary contact; make someone else primary first. Use the menu next to a contact to Edit or Remove it.

Documents

Documents lists everything raised for the client, newest first, drafts included. Each row shows the number (or Draft), type, issue date, amount, the unpaid part, the due date and the status. The row menu has View and Download PDF.

Contracts

Contracts shows up to five contracts linked to this client. New contract starts a contract with the client already filled in. See Create a contract.

Email history

Email history lists every email Bilify sent to this client (issued documents, reminders and so on) with its delivery status. It is the place to check when a client says "I never got it". You need access to the email log to see it. See Email log.

Activity

Activity at the bottom is the change log for the client record: who created it, which fields changed and when.
