Report types
What the five report types contain, which filters each one uses, and how they read your issued documents, expenses and stock.
Every report is built from one or more of five types. You tick them under Report types when you create a report, and each ticked type becomes its own section of the same report: its own part of the CSV file, its own worksheet in XLSX, its own block on the page.
| Type | One row per | Best for |
|---|---|---|
| Financial summary | Currency (plus one row per week, month or quarter in the summary) | Earnings against expenses for a period |
| Documents export | Issued document | Handing your accountant a list of invoices |
| Expenses export | Expense | A detailed list of costs |
| VAT summary | Currency and tax rate | Preparing a VAT return |
| Stock movements | Stock movement | Checking what came in, went out or was lost |
Reports read the totals and taxes frozen on each document when it was issued. They never recalculate an invoice, so a report always agrees with the PDFs your clients received. Drafts are never included.
Financial summary
The Financial summary has three parts. You can switch each one off, but at least one must stay on.
- Earnings (Include earnings): Subtotal, Tax and Total of the issued documents whose issue date falls in the period, added up per currency. Basis is Issue date. Payment date (coming soon) is shown but cannot be selected yet.
- Expenses (Include expenses): the total of your expenses in the period, per currency. Expenses are always summed in their own currency, even when Currency is set to convert.
- Summary (Include summary): Earnings, Expenses and Net for each period bucket, with a Grand total. Group by sets the bucket: Week, Month or Quarter.
For the Financial summary, keep at least one box ticked under Statuses to include. The other report types treat "nothing ticked" as "every status", but the Financial summary does not, and its earnings come out empty. A new report starts with Issued, Sent, Partially paid and Paid ticked.
Documents export
One row per issued document whose issue date falls in the period, with: Number, Type, Client, Issue date, Due date, Status, Subtotal, Tax, Total and Currency. The client name is the one printed on the document.
Expenses export
One row per expense dated in the period, with: Date, Category, Vendor, Description, Amount, Currency and Source. Source says whether the expense was entered by hand (One-off) or created by a recurring expense (Recurring).
VAT summary
One row per currency and tax rate, with the Taxable base and the VAT amount, followed by a Total row for each currency. The figures come from the tax breakdown saved on each document at issue. Read How VAT is calculated for how that breakdown is made.
Stock movements
Two tables:
- Stock movements: one row per movement in the stock ledger during the period, with Date, Item, SKU, Type, Quantity, Unit, Document, Reason and Recorded by.
- Losses by item: losses and write-offs added up per item and reason.
Losses are counted in quantity only. The report does not put a money value on them, because items carry a sale price, not a cost price. It also does not show a running stock balance; open the item to see that (Stock movements).
Filters
The filter cards that appear depend on the types you tick. Each filter is shared by every ticked type that reads that kind of data: there is one set of document filters, one set of expense filters and one set of stock filters per report.
| Card | Filters | Used by |
|---|---|---|
| Document filters | Statuses to include, Document types | Financial summary (earnings), Documents export, VAT summary |
| Expenses | Categories, Include recurring expenses | Financial summary (expenses), Expenses export |
| Summary | Include summary, Group by | Financial summary |
| Stock filters | Movement types, Items, Only losses | Stock movements |
- Leave Document types, Categories, Movement types or Items empty to include all of them.
- Statuses to include starts without Seen and Overdue ticked. Tick them if those invoices belong in your export.
- Items lists stock-tracked products. Search by name or SKU; the list shows up to 200 at a time and always keeps the items you already ticked.
- Only losses limits the stock report to stock that left as Loss or Write-off, plus older negative adjustments and corrections.
Requires: Products & stock tracking
The Stock movements type is useful once you track stock on your products. Without stock tracking it comes out empty.
